Usually at the beginning of the school year, there is a prom
committee that is formed and they initally choose the date and
location. Since this is usually the "party of the year", it
should sometimes be booked 16 to 18 months in advance. You
should look at the capacity of the venue to hold a large band as
well as its sound capability. Adequate parking is essential,
also. Some places will actually offer to provide the food,
security and decorations so it is worthwhile checking into
various places. Find out exactly what their price includes and
get it in writing. Choosing the entertainment can be fun, so
make sure you consider at least 3 various entertainment sources.
Choose a band that is versatile and can play several styles of
music. If using a DJ confirm in the price quote exactly what
type of sound and lighting equipment will be used. Some DJ's
will actually include a light show or even a fog machine! The DJ
should also have a current music library. You will want to ask
the school for song requests and make sure the DJ can play them
well. Remember to get everything in writing and be sure the DJ
has adequate liability insurance. Also be sure to get references.
Once you know the date and time of the event, book the
photographer to capture those awesome pictures. Make sure you
get someone that can come supplied with references and what
types of packages they can offer you. Again, make sure you get
this in writing. Consider posting a sign-up sheet for photo
time-slots in order to organize a photo-shoot. Remember to
select a background that enhances the formal look.
When it comes to decorations, a prom kit can be purchased from
various online merchants. Get prom ideas from catalogs or build
your own. Local rental companies may have exactly what you need
at better prices, so check that out also. Remember to arrange
for adequate security as sometimes a prom can get out of hand.
